What the 2025 edition tells you about the 2027 floor
The numbers from the last edition describe a show where the valuable conversations are few, scheduled and concentrated. According to the Dubai Media Office's closing release (24 November 2025), the 2025 show recorded:
- 248,788 visitors over five days
- more than 1,500 exhibitors, 440 of them first-time participants
- 490 military and civil delegations from 115 countries
- 21 national pavilions and 98 chalets
- 120 startups and 50 investors
- USD 202 billion in announced deals, double the USD 101 billion reported for 2023
Read those lines together. Roughly 1,500 exhibitors compete for the attention of 490 delegations. A quarter-million visitors pass through, but a delegation is the unit that carries procurement authority, and it moves as a group on an itinerary. That is the planning problem this post solves.
Dates and venue for the next edition
The same release confirms the next edition is scheduled for November 2027. The 2025 show ran from 17 to 21 November at Dubai World Central, according to Gulf News (1 July 2025). We could not confirm exact 2027 dates on the organiser's own website during this research, so treat any specific day you see quoted elsewhere as unconfirmed until the organiser publishes it.
Why a delegation-driven floor punishes walk-up selling
Most trade shows reward the stand that catches passing traffic. The Dubai Airshow partly inverts that. The same Gulf News report describes a show run by a Military Committee, supported by the UAE Ministry of Defence, the Dubai Civil Aviation Authority and the Government of Dubai, and managed by Informa Markets. Defence and government buyers do not browse. They follow a programme of pre-agreed stand visits, briefings and signings.
The public side is separate. The Skyview platform was expected to welcome more than 15,000 public visitors across the five days, per the same report. That crowd adds footfall, not pipeline, for most B2B exhibitors.
Deal announcements follow the same rhythm. The Tawazun Council announced contracts on behalf of the Ministry of Defence and Abu Dhabi Police at press conferences across the week, closing at 36 contracts worth Dh25.455 billion over five days, Gulf News reported (21 November 2025). On the final day alone, six of nine contracts went to local companies. If you supply into a prime or a local partner, that tells you who to meet on the floor: the local integrators and their procurement leads, not only the headline signatories.
Three consequences for exhibitors:
- Your best-fit buyers will spend minutes, not hours, at your stand, and only if a visit is already in their schedule.
- The people with time to talk at length are often other exhibitors, consultants and job seekers. Useful, but not the pipeline you paid for.
- Delegation members frequently hand off follow-up to an aide or a technical officer. If you capture only the senior name, the lead dies on the email trail.

Build the meeting plan eight weeks out
Appointment-first means your stand week is mostly decided before build-up. Work backwards from the show.
Eight to six weeks before
- List the delegation types that match your offer: air forces, civil aviation authorities, airlines, airports, MRO providers, space agencies, or tier-one suppliers.
- For each type, name the role you need: programme manager, head of procurement, chief engineer, or the attaché who controls the delegation diary.
- Ask your in-country partners and your embassy's commercial section which delegations are confirmed.
Six to two weeks before
- Send a short, specific meeting request: one line on the problem you solve, one line on a relevant capability, a proposed 20-minute slot on a named day.
- Use the official event app's matchmaking. The 2025 edition offered an AI-powered matchmaking system through the app, per Gulf News. Complete your profile early so you surface in searches.
- Book the chalet, meeting room or quiet corner you will actually use. A booked meeting with nowhere to sit is a lost meeting.
Show week
- Confirm every meeting the evening before, with the aide copied.
- Keep a written list of the next 20 target stands and delegations you have not reached. That list is what your floor team works between appointments.

Worked example: a five-day coverage plan for a two-person stand
Take an MRO software vendor with two sales staff and a 12-meeting target. This is an illustration of the planning logic, not a forecast of results.
- Day one: both staff hold the stand for pre-booked meetings. Plan for official tours and short walk-up conversations.
- Day two: one person holds four booked meetings. The other walks the halls where airlines and MRO exhibitors sit, confirming contacts for days three and four.
- Day three: four booked meetings on the stand. The floor person visits partner stands and national pavilions to request introductions to delegation technical officers.
- Day four: remaining meetings plus second meetings with anyone who asked for a demo. The floor person captures the aide or technical officer for every senior contact already met.
- Day five: lighter traffic. Use it for follow-up calls to people who could not make their slot and to agree next steps in writing.
The weak point is obvious. Every hour the floor person spends walking is an hour the stand is single-staffed. That trade-off decides whether you add floor coverage or accept a smaller reach.
Qualify a delegation member in under two minutes
A delegation visit gives you little time. Use a fixed script and record the answers the same way every time.
- What programme or requirement brought you to the show this year?
- Who on your side evaluates the technical fit, and who signs?
- Is there a live tender, a planned tender, or only early market research?
- What timeline are you working to for a decision?
- Who should receive our follow-up, and may I take their details now?
